The Role

Reporting to the Responsible Sourcing Manager, the primary purpose of the Responsible Sourcing Co-ordinator role is to provide administrative and project support to the Responsible Sourcing team.

The role involves undertaking a range of support tasks in the implementation of the Responsible Sourcing Programme, an independent audit programme for verifying the legitimacy of the the supply chain. This includes maintaining accurate records, organising and preparing papers for meetings, handling basic queries and tracking progress on the team's activities, specifically the audit programme.

The ideal person for this role will have strong organisational, IT and communication skills, both oral and written. You must be results focused and proactive, with excellent attention to detail and a team player.

Prior experience of working in Responsible Sourcing would be beneficial. You may also have experience of sustainability or human rights, but this is not essential. More critical is the desire and ability to learn and a strong and positive work ethic.

DUTIES AND RESPONSIBILITIES

Providing administrative support to the Responsible Sourcing Team, including:

o Creating, uploading and printing certificates

o Logging and tracking Responsible Sourcing Audits

o Supporting with producing documents and presentations, in line with house style

o Assisting with record keeping including maintaining and checking sheets

• Assisting with the Responsible Sourcing CRM platform, including:

o Setting up contacts

o Maintaining and updating contacts and distribution lists

o Coordinating CRM audit submission queries

o Maintaining the CRM dashboard

o Maintenance of the CRM system in relation to the Responsible Sourcing Programme workflow

• Providing timely support to the Responsible Sourcing Officer with the Compliance Panel to ensure its smooth running, including:

o Attending meetings

o Preparation of the pack

o Producing minutes

o Reporting updates to the Compliance Panel and seeing queries through to resolve

• Supporting the Responsible Sourcing Officer with the audit programme, including:

o Coordinating the virtual audit application process

o Reviewing audit reports, ensuring the timely review of any urgent matters, or approval by the ExCom and Compliance Panel

o Relationship and coordination management with refiners and compliance teams in relation to the Responsible Sourcing Programme

• Conducting ad-hoc research for the Responsible Sourcing team

• Maintaining the Responsible Sourcing section of the website

• Collating insights and Executive updates for the quarterly Responsible Sourcing newsletter

• Organising and collating consultation feedback

• Data management, quality control and analysis

• Assisting with other Responsible Sourcing related activities, including seminars and events

• Assisting with strategic and business development projects

• Attendance and support at events held throughout the year

EDUCATION AND QUALIFICATIONS

• Bachelor's degree or equivalent higher education is desired

KNOWLEDGE AND EXPERIENCE

Essential

+ Advanced skills in MS Word, Excel, PowerPoint, Outlook, Adobe packages and CRM

• Some relevant experience in Responsible Sourcing or equivalent

Desirable

• A focus on responsible sourcing, human rights or due diligence/know your customer practices would be beneficial

• Previous experience with confidential or proprietary information is strongly preferred
